Summary:
Responsible for the day-to-day functions of the Front Desk Operations and assist in the daily administrative operations.
Responsibilities:
Patient Management Establish the working day schedule and a protocol for efficient appointing Schedule patients.
Give school excuses and appointment slips.
Arrange for and organize the protocol for emergency, walk-ins, and missed appointments Answer the telephone.
Screen calls, take messages, and answer inquiries.
Enter complete information in the computer that is needed on each new patient.
Responsible for new patients' smooth transition into the practice and communication with specialists Monitor and control the recall system Greet patients and make them feel welcome in our office Follow up on all patients on the No Show report and Needs Appointment report Verification and understanding of dental insurance Keep pre-treatment recall and retention systems up-to-date.
Send any follow-up letters.
Take ultimate responsibility for the accuracy for statuses Receive emails or text messages from patients and respond or redirect Be certain all patients in active treatment have an appointment Scheduling Patient Check In Check Out Patients Monitoring Rotations Filling Unpopular Appointment Times Lake Patients Patients Who Want a Sooner Appointment Scheduling for Production Practice Management Order office supplies Take payments received at the desk.

Give receipts.
Send transfer records Sort the mail Help keep the reception area neat and tidy Update patient information in the computer as needed.
Set up telephonic confirmation system and monitor daily.
Turn on answering machine at the end of the day.
Take calls off the answering machine first thing in the morning and after lunch.
Make appropriate outgoing messages for the machine.
Follow up on all messages received.
Copy, file, and mail outgoing correspondence.
Merge all incoming correspondence and x-rays.
Mail out any x-rays, receipts, etc.

Charge out credit cards being accepted in the office for payments Keep coffee station stocked Miscellaneous Be an active participant in staff meetings and committee meetings Perform other tasks as assigned by the doctor Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect, and cooperation Education/
Experience:
Minimum of 2 years of experience in a dental office (preferred) and/or customer service based position.
Insurance knowledge and financial background a plus! Skill/Abilities:

Exceptional communication, customer service skills, and the ability to build positive relationships with patients and team members.
Good interpersonal skills to maintain effective rapport with patients, parents, doctors, other staff members, and the community.

Strong letter composition skills.
Typing speed of 60 wpm.
Legible handwriting.
Verbal Skills:
Effective verbal skills.
Good telephone techniques.

Attention to detail and follow through in managing staff, performing administrative assistant duties for doctors, etc.
